1. Choose an Ideal Date and Time

What day of the week do we choose? At what time? These questions can make scheduling a webinar one of the most difficult components in your planning process and can affect the overall outcome of the event. Studies have shown that Tuesdays and Wednesdays are the most popular days for holding webinars and more than 50% of all webinars are held on these two days. Other considerations must be taken, such as time zones if you have a global audience. You want to make sure that the time you choose will be convenient for the largest possible number of viewers. Sometimes, holding two separate webinars can accomodate a larger audience.  

2. Keep it Short and Simple

Trying to squeeze too much information into one webinar can be overwhelming and confusing for your viewer and can leave them unimpressed with their experience. Even if there is a lot of information to cover, you want to make sure that you are effectively alloting your time to one main focus. Furthermore, you will want to limit the length of the time to, at most, one hour. It is likely that your viewer's attention span will cap out after the one-hour marker. This time frame should also include a question and answer session.  

3. Promote!

No one will know about your event, or attend it, if you do not promote it. When planning for a webinar, it is wise to start the promotions about three weeks prior. Ways to promote your event could be through e-mails, social media, your website, or LinkedIn. Your webinar vendor can also provide services in notifying, registering, and reminding your attendees about the webinar. It is very important to design an invitation that includes the date and time, how long it will last and what your viewers can expect to gain from attending. Creating hashtags and sending out email blasts are great ways to gain attention as well.  

4. Follow Up! 

Following up after the event is of utmost importance because you want to know how successful your event was, and use that information in the planning of future events to maximize the outcome. You will want to compare who registered for the event with those who actually attended, gather their contact information and send them surveys and request feedback, if desired. Prompt follow-ups are extremely important because the webinar will still be fresh in their minds and they will be able to provide more valuable feedback. It is best to follow up within an hour.  

It is important to remember that your webinar can be an effective marketing tool when it is used properly. A live webinar is the perfect way to promote your business, share information with your customers about your products and services, build credibility with your customers, and strengthening your brand.
